Should you choose HubSpot or Pipedrive?

Choose HubSpot if you want to start without paying and, over time, run sales, marketing and customer service in one tool. Choose Pipedrive if your need is mainly sales: tracking deals in a visual pipeline, with a team that has to get going quickly.

On the surface they look alike, but their pricing logic differs. HubSpot offers a free CRM with no time limit for up to 2 users, then Sales Hub Starter at $20 per seat a month, and a sharp jump to Professional at $90 billed yearly, plus a $1,500 onboarding fee. Pipedrive has no free plan but climbs in even steps: $14, $24, $49 and $69 per seat a month, billed yearly.

In our reading, the deciding question is not “which one is better” but “how far will you take it”. If your need stays centred on the pipeline, Pipedrive costs less at every comparable tier. If you want marketing and customer service in the same tool, HubSpot makes sense, as long as you accept the cost of Professional.

How much do HubSpot and Pipedrive cost for 3 and 10 sales reps?

For 10 reps on annual billing, Pipedrive costs from $1,680 (Lite) to $8,280 (Ultimate) a year. HubSpot Professional comes to $12,300 in the first year, onboarding fee included. Prices come from the official pricing pages, checked on September 23, 2026, in US dollars and before tax.

Every row uses the same method: price per seat × number of seats = monthly cost; monthly cost × 12 = annual cost; any one-time onboarding fee is added to the first year.

Plan Billing Price per seat per month 3 seats, per month 3 seats, first year 10 seats, per month 10 seats, first year
HubSpot Starter (base price) monthly $20 $60 $720 $200 $2,400
HubSpot Starter (new customer offer) annual $7 $21 $252 $70 $840
HubSpot Professional annual $90 $270 $4,740 $900 $12,300
HubSpot Professional monthly $100 $300 $5,100 $1,000 $13,500
HubSpot Enterprise annual $150 $450 $8,900 $1,500 $21,500
Pipedrive Lite annual $14 $42 $504 $140 $1,680
Pipedrive Growth annual $24 $72 $864 $240 $2,880
Pipedrive Premium annual $49 $147 $1,764 $490 $5,880
Pipedrive Ultimate annual $69 $207 $2,484 $690 $8,280

A worked example: HubSpot Professional billed yearly for 3 reps is 3 × $90 = $270 a month, then $270 × 12 = $3,240 a year, plus $1,500 onboarding, so $4,740 in year one. From year two, it drops back to $3,240.

Three caveats. Pipedrive only shows annual-billing prices: its month-to-month rate could not be read, so we do not estimate it. HubSpot only lists Enterprise on annual billing, with monthly billing on quote. And the Starter offer ($7 billed yearly, $10 billed monthly) is temporary and limited to new customers: it makes Starter cheaper than Pipedrive Lite, but ask for the renewal price before you sign.

How much does the HubSpot onboarding fee weigh?

It weighs most on small teams. The mandatory fees of $1,500 (Professional) and $3,500 (Enterprise) are paid once, but their relative weight shrinks as the team grows.

For 3 reps on Professional billed yearly, $1,500 is 32% of the first year ($1,500 out of $4,740). For 10 reps, the same amount is only 12% ($1,500 out of $12,300). On Enterprise with 3 seats, the $3,500 fee is 39% of year one ($3,500 out of $8,900).

No onboarding fee appears in the Pipedrive plans we checked, and HubSpot Starter has none either. In our reading, this is the first line to check in any comparison: for 3 seats, the first-year gap between HubSpot Professional ($4,740) and Pipedrive Premium ($1,764) comes half from the onboarding fee alone.

What does each tool cover beyond the pipeline?

HubSpot covers more ground: sales, marketing and customer service in one suite. Pipedrive focuses on sales, with a clear step-up from one plan to the next and several modules sold as add-ons.

At HubSpot, each Sales Hub plan includes HubSpot credits: 500 on Starter, 3,000 on Professional, 5,000 on Enterprise. Starter bundles the core sales and marketing tools; Professional is the plan for sales automation and scaling; Enterprise adds advanced control and customization.

At Pipedrive, Lite covers leads, deals, contacts, calendar, AI-assisted reporting and 500+ integrations, but not full email sync. Growth adds it for Gmail and Outlook, along with tracked bulk email, automations, sequences and meeting scheduling. Premium brings LeadBooster (lead generation and routing), custom scoring, data enrichment, contracts and e-signatures. Ultimate adds enhanced account security, a sandbox environment and extended phone support. Projects and Campaigns remain paid add-ons.

In our reading, Pipedrive Growth at $24 is the real starting point for a team that sells over email, because Lite lacks full sync. The useful comparison therefore puts Growth or Premium against HubSpot Professional: for 10 seats billed yearly, $2,880 or $5,880 a year against $12,300 in year one.

Which one is easier to learn?

Pipedrive, by a small margin. Everything starts from a visual, deal-centric pipeline, and the 14-day free trial with no card is enough to test it on your own deals.

HubSpot stays clear and offers a guided import. In our reading, its wider scope (sales, marketing, customer service) simply means more settings before every rep finds their way. Its edge lies elsewhere: the free CRM can be tested with no time limit, but only with 2 users. A team of 3 reps or more needs a paid plan.

Where is the data hosted for European companies?

In the European Union for both, on AWS. HubSpot has a data center in Frankfurt; Pipedrive hosts European accounts in Frankfurt or Dublin. With both, the region depends on your IP location at sign-up: create the account from Europe and have the region confirmed before importing your contacts.

On paper, Pipedrive lists ISO 27001, ISO 27701, SOC 2 Type II and SOC 3, with a pre-signed DPA built into its terms of service. HubSpot publishes SOC 2 Type II and SOC 3; the ISO 27001 certification it mentions belongs to its infrastructure providers, not to HubSpot itself. Its DPA is built into the customer terms, and transfers outside the EU rely on the Data Privacy Framework and Standard Contractual Clauses.

In our reading, Pipedrive has a slight edge for a procurement team that requires an ISO certification in the vendor’s own name.

Where should you start?

The right starting point depends mostly on team size and what you want to centralize:

Your situation Our pick
1 or 2 users, zero budget HubSpot free CRM
3 to 10 reps, focus on pipeline and email Pipedrive Growth, after the 14-day trial
Lead generation and e-signatures inside the CRM Pipedrive Premium
Sales, marketing and customer service in one suite HubSpot Professional, with the onboarding fee in the budget

Either way, run the numbers on a full first year, not on the monthly price shown: that is where onboarding fees and temporary offers change the ranking.

Try both before you choose.
