Most small teams automate three things: sorting inbound email, following up on quotes and invoices, and copying data between tools. Cost depends on the unit each platform counts: credits at Make (10,000 a month from the Core plan at $9 billed yearly), workflow executions at n8n (2,500 on Starter at €20 billed yearly), and tasks at Zapier (750 on Professional at $19.99 billed yearly).

Key takeaways
- Make counts credits, n8n counts workflow executions, Zapier counts tasks: three units that do not compare directly.
- n8n states that it bills per full workflow run rather than per step, with 2,500 executions a month on Starter at €20 billed yearly.
- At Make, the quota stays at 10,000 credits a month on Core ($9), Pro ($16) and Teams ($29) billed yearly: the features change, the volume does not.
- Zapier includes 750 tasks a month on Professional at $19.99 billed yearly, with tiers that climb to 20,000 tasks.
- All three free options come with conditions: 1,000 credits and 2 active scenarios at Make, 100 tasks and two-step Zaps at Zapier, no free cloud plan at n8n but a free self-hosted Community Edition.
- On hosting, n8n Cloud stores data in Frankfurt, Make offers EU server zones, and Zapier hosts in the United States with no EU option announced.

What can a small business actually automate with AI?
Three families of tasks come up again and again. Sorting inbound messages: classifying a request, spotting an order, routing it to the right person. Follow-ups: an unanswered quote, an unpaid invoice, a lead that went quiet. Data entry: copying a form, an attachment or an email into a spreadsheet or a CRM.
In all three cases the AI handles one step of the chain, the step that requires reading free text, classifying it or drafting something. The rest is plumbing: a trigger, two or three actions, a write into a business tool. That plumbing is what you pay Make, n8n or Zapier for. The model usage sits next to it, either billed separately or bundled into a quota. n8n lists 2,300 AI credits a month from the Starter plan, and Zapier includes AI features from Professional up.
How do Make, n8n and Zapier count your runs?
Each platform counts in a different unit, and that is where budgets diverge.
Make bills credits: 1,000 a month on the free plan, 10,000 a month on Core. n8n bills workflow executions: 2,500 a month on Starter, 10,000 on Pro, 40,000 on Business, with a stated position from the vendor that you are charged per full workflow run and not per step. Zapier bills tasks: 100 a month free, 750 on Professional, 2,000 on Team, with tiers that climb to 20,000 tasks.
In our reading of the published terms, n8n’s unit is the one that moves your bill the most once a scenario gets long: a ten-step workflow burns the same single execution as a three-step one, while task and credit models track the number of operations carried out. Flip that around and the picture changes: if your automations stay short and few, the included volume matters more than the counting method. We broke the mechanics down tool by tool in our Make pricing guide and our Zapier pricing guide.
What does the first paid tier cost?
| Tool | Unit counted | First paid tier | Included volume per month | Data hosting |
|---|---|---|---|---|
| Make | Credits | Core at $9 a month billed yearly | 10,000 credits | EU server zones (eu1, eu2) or US zones |
| n8n | Workflow executions | Starter at €20 a month billed yearly (€24 billed monthly) | 2,500 executions | EU, servers in Frankfurt, or your own servers if self-hosted |
| Zapier | Tasks | Professional at $19.99 a month billed yearly ($29.99 billed monthly) | 750 tasks | AWS in the United States, no EU option announced |
Two details deserve attention. At Make, the quota stays at 10,000 credits a month on Core ($9), Pro ($16) and Teams ($29) billed yearly: moving up the range buys features, not volume. Pro adds priority execution, custom variables, full-text log search and 250 MB files; Teams adds team management and roles, shared scenario templates and 500 MB files. At Zapier, going from Professional ($19.99) to Team ($69 billed yearly) adds 2,000 tasks, 25 users, shared Zaps and SAML SSO.
On the n8n side, the gap between Pro (€60 billed monthly) and Business (€800 billed monthly) is wide. There is an intermediate step inside the Pro plan, though: a 50,000-execution tier at €145 a month. Two method notes: Make’s pricing page shows annual billing only, so the month to month price was not readable, and n8n publishes its prices in euros.
Are the free plans enough to get started?
They are enough to validate an idea, rarely enough to run production.
Make gives you 1,000 credits a month but caps you at 2 active scenarios, a 15-minute minimum interval, 5 MB files and 7 days of logs. Zapier gives you 100 tasks a month, two-step Zaps only, 15-minute polling and 1 seat. n8n lists no free cloud plan, only a trial with no credit card, but its self-hosted Community Edition is free, which makes it the cheapest route if you already have a server and the skills to run it. Our free-plan score reflects that spread: 4.5 out of 5 for n8n, 4 out of 5 for Make, 3 out of 5 for Zapier.
The two-active-scenario ceiling at Make and the two-step limit at Zapier are the walls you run into first. An email triage flow with an AI step usually needs more than two steps.
When do you not need AI in the workflow at all?
When the rule is deterministic. If you can write “if the subject line contains this word, file the message in that folder” or “seven days after the quote goes out, send this email template,” no AI model is involved. You still spend credits, tasks or executions, but there is no model bill and no risk of a misread.
AI earns its place when the input is free text and the output calls for judgment: summarizing a request, detecting intent, drafting a tailored reply. Inside a follow-up sequence, the schedule is plain logic and only the wording of the message needs a model. If you want to go past the workflow stage, our guide to building an AI agent with n8n or Make covers where automation stops and where an agent starts.
Where does your data live?
This is the criterion that separates the three platforms most clearly once your scenarios handle customer email, invoices or CRM records.
n8n Cloud stores data in the EU on servers in Frankfurt, provides a pre-signed DPA and runs an annual SOC 2 audit with a public SOC 3 report, the full SOC 2 report being reserved for Enterprise customers; ISO 27001 is not mentioned. We score it 5 out of 5 on this criterion. Make runs on AWS with EU server zones (eu1, eu2) and US zones, holds SOC 2 Type II, SOC 3 and ISO 27001, and publishes a DPA and a subprocessor list, but does not state the exact physical location of its EU zones: 4 out of 5. Zapier hosts on AWS in the United States with no EU storage option mentioned, transfers covered by the EU-US Data Privacy Framework, SOC 2 Type II and SOC 3 reports and a DPA available: 2 out of 5.
Which one should you pick?
If nobody on your team writes code and you want to connect business apps quickly, Zapier is the easiest to pick up (5 out of 5 on that criterion) and carries the largest integration catalog, at the cost of US hosting and a bill that tracks your task count. Overall Stacknota score: 3.5 out of 5.
If you want the lowest entry price for visual, multi-step scenarios, Make at $9 a month billed yearly is the cheapest door of the three, with an editor you can use without coding and the option of an EU server zone. Overall score: 4.1 out of 5. Its blind spot stays credit consumption, which is hard to predict at higher volumes.
If you have a technical profile on the team, or a firm requirement on data location, n8n is our highest score of the trio at 4.3 out of 5: unlimited users on every plan, cloud hosting in Frankfurt, and a Community Edition you can self-host for free. The trade-off is real technical background, which is why we put it at 3 out of 5 on ease of use. For a feature by feature comparison, see our Zapier vs Make vs n8n guide.
Frequently asked questions
What can AI workflow automation actually do for a small business?
Repetitive work that starts from a clear trigger: sorting and qualifying inbound email, chasing a quote or an invoice that got no reply, copying information from a form or an attachment into a spreadsheet or a CRM. The AI usually touches one step only, the step that requires reading free text, classifying it or drafting a reply.
How much does AI workflow automation cost per month?
The first paid tier is $9 a month billed yearly at Make (Core), €20 a month billed yearly at n8n (Starter) and $19.99 a month billed yearly at Zapier (Professional). Each of those covers an included volume: 10,000 credits, 2,500 workflow executions or 750 tasks a month, depending on the tool.
What is the difference between a task, a credit and an execution?
They are the three billing units these platforms use. Zapier counts tasks (100 a month free, 750 on Professional), Make counts credits (1,000 free, 10,000 on Core), and n8n counts workflow executions, stating that it charges per full run rather than per step. Comparing prices without comparing units leads to surprises on the invoice.
Can I automate workflows with AI for free?
Yes, within narrow limits. Make gives 1,000 credits a month, 2 active scenarios and a 15-minute minimum interval. Zapier gives 100 tasks a month, two-step Zaps only and 15-minute polling. n8n lists no free cloud plan, only a trial with no credit card, but its self-hosted Community Edition is free.
Where is my data stored with Make, n8n and Zapier?
n8n Cloud stores data in the EU on servers in Frankfurt, and self-hosting keeps it on your own machines. Make runs on AWS with EU server zones (eu1, eu2) and US zones, without stating the exact physical location of the EU zones. Zapier hosts data on AWS in the United States and mentions no EU storage option.
